HighBrain and Zoom
HighBrain analyzes sales meetings recorded in Zoom and shows reps and managers what moved each deal forward or held it back. This page explains what HighBrain accesses in your Zoom account, how to connect it and how to remove it.
What HighBrain reads from Zoom
Each person connects their own Zoom account. With their authorization, HighBrain reads, only from meetings that person hosted:
- the email and name of the connected Zoom account, to know who owns the connection;
- the list of meetings recorded to the cloud;
- the transcript and, if there is no transcript, the audio file of the recording, once they are ready. Video is never sent to artificial intelligence;
- the names and emails of participants, to tell the customer apart from the sales team.
What HighBrain never does
- It never creates, changes or deletes meetings, recordings or any other data in Zoom.
- It never joins meetings and never records anything on its own: it only uses recordings your Zoom account already made.
- It never reads meetings hosted by someone else, or by people who have not connected their account.
- It never sells or shares your data for advertising. Processing follows our Privacy Policy and Data Processing Agreement (in Portuguese).
Requirements
- A paid Zoom plan: cloud recording is not available on the free plan, and audio transcript depends on your plan.
- Cloud recording turned on in your Zoom account (Settings › Recording › Cloud recording).
- Audio transcript turned on in the same place (Settings › Recording › Cloud recording › Audio transcript).
- The meeting must be recorded to the cloud. Local recordings on your computer do not reach HighBrain.
On company accounts, your Zoom admin may need to enable these settings or approve the app for the account.
How to connect
- Sign in to HighBrain and open Meu perfil › Conexões (My profile › Connections).
- On the Zoom card, click Conectar (Connect).
- On the Zoom page, review the permissions and click Allow.
- You return to Connections with Zoom connected. HighBrain brings in recorded meetings from the last 30 days.
How to turn on automatic analysis
- In Meu perfil › Conexões, on the Zoom card, turn on Analisar automaticamente reuniões com clientes do Zoom (Automatically analyze customer meetings from Zoom).
- From then on, every customer meeting that ends with a transcript becomes an analyzed call on its own, within a few minutes.
Internal meetings, group meetings and meetings without a transcript are not analyzed automatically; you can analyze them manually. The limit is 30 automatic analyses per person per day, across all platforms. If you leave the switch untouched, your company’s default applies.
How to disconnect
In Meu perfil › Conexões, on the Zoom card, click Desconectar (Disconnect). HighBrain revokes the authorization in Zoom and deletes the access key and the list of meetings from your Zoom account. Calls that were already analyzed stay in your company’s account.
How to remove the app in the Zoom App Marketplace
- Sign in to marketplace.zoom.us with your Zoom account.
- Click Manage › Added Apps.
- Find HighBrain and click Remove.
What happens to your data when you remove it
- HighBrain loses access to your Zoom account immediately and stops reading any meetings.
- Zoom notifies HighBrain, and the access key and meeting list of your account are deleted right away, as with Desconectar (Disconnect).
- Calls already analyzed belong to your company and follow the periods in our Privacy Policy (transcripts and analyses for 730 days by default; recordings for 90 days). To delete them sooner, contact your company’s HighBrain admin or write to privacidade@sales4growth.com.br.
